Digital patient records: less searching, clearer information
Consistent records help the right team members find what was recorded, when it was added and where to look next.
A digital patient record is most useful when the team knows how to maintain it. Moving information onto a screen is only the first step. Clear naming, consistent updates and appropriate access make the record easier to use.
Agree on the basic details. Decide which patient identifiers your clinic needs and how staff should check for an existing profile before creating another one. Similar names are common, so staff should follow the clinic's identity-checking process rather than relying on a name alone.
Keep information in the relevant section. Contact details belong with contact information; visit notes belong with the visit they describe. Where attachments are supported, give files names that help authorised staff understand their purpose without opening every document.
Make corrections through the right workflow. If information is wrong, use the editing or amendment process available in the system. Do not assume that removing a visible entry erases every retained copy or record of the change.
Review who needs access. Different jobs require different information. Apply the permissions available in your workspace and follow your organisation's rules for handling patient records.
In Happiness, patient profiles provide a place to organise patient information and recorded visits. A consistent team routine helps make those profiles useful throughout the working day.
