A more organised clinic day, from booking to follow-up

A few clear handovers can help your team follow each visit without repeatedly searching for the same details.

A busy clinic day is made up of connected tasks. Reception confirms the appointment, the doctor reviews the patient's information and administration prepares the invoice. When each person works from a different version of the details, the team spends time checking what has already happened.

Start with the booking. Agree which details are needed for every appointment, such as the patient, doctor, service and time. Keep those details in the place the team uses to review the schedule. If a booking changes, update that record so the next person sees the same information.

Make arrivals visible. A scheduled appointment and an arrived patient are not the same thing. Use the available check-in or queue controls consistently so reception and the clinical team can see the patient's current status.

Keep the end of the visit clear. Record the completed work in the appropriate patient record and prepare any invoice through the supported billing process. Saving an invoice does not mean it has been paid; review the recorded payment status separately.

Before closing, review unresolved items. Check bookings that need attention, outstanding balances and any follow-up tasks that your team has recorded. Assign a clear owner where the workflow allows it.

The goal is a routine everyone understands. Happiness brings appointments, patient profiles and invoicing into one workspace, giving your team a shared place to follow daily work.
